Mailbox Instructions
You have been provided with access to a mailbox, here’s some information that is helpful:
Where to find delegated mailboxes.
- Delegated mailboxes can take several minutes to appear, sometimes even an outlook restart.
- Usually delegated mailboxes are not extended which will make them appear at the bottom of the left panel in outlook.

Create and change a folder policy
- You will want to create a folder to save any email in your mailbox from another mailbox, so you can have those emails available in your mailbox.
- Once your folder has been created you will want to change its policy to ensure it doesn’t get deleted if it's older than 30 days. This can also be done to the existing folder. So, you can just move a folder from another mailbox and change its policy
- To do this you will right-click the folder and click on properties, this will open a window where you need to click on the “Policy” tab.
- Once you load the policy tab you will click on the dropdown list next to the “Folder Policy” and select “Never Delete”.
- You will only have to do this to the folder once, everything you add to that folder will have the same policy, including other folders.

Move emails and folders between mailboxes.
- To move emails and folders from one mailbox to another is as easy as drag and drop
- Keep in mind that depending on the number of emails a folder may contain it will be a long process to transfer them.
- Folders moved will change their policy to the folder you move them so make sure you place them in a folder with a never delete policy or change the folder policy as shown in the steps below.
